Document Splitting: aktiv, passiv bölmə və zero-balance clearing

Faktura iki mənfəət mərkəzinə aid xərc daşıyır. Bəs kreditor və ƏDV sətirləri hansı mənfəət mərkəzində qalır? Document Splitting məhz bu suala cavab verir.

Bir çox şirkət balans hesabatını yalnız şirkət kodu üzrə deyil, mənfəət mərkəzi və ya seqment üzrə də görmək istəyir. Bunun üçün hər sənədin bütün sətirlərində həmin sahələr dolu olmalıdır. Problem burasındadır: satıcı fakturasında xərc sətrinə mənfəət mərkəzini istifadəçi özü yazır, amma kreditor və ƏDV sətirləri bu məlumatı daşımır. Nəticədə seqment üzrə balans heç vaxt sıfıra bağlanmır.

S/4HANA-da bu boşluğu Document Splitting doldurur. Mexanizm üç hissədən ibarətdir və onları bir-biri ilə qarışdırmaq ən çox rast gəlinən səhvdir.

1. Aktiv bölmə: orijinal sənəd yerləşdiriləndə

Aktiv bölmə ilkin sənəd, məsələn satıcı fakturası yerləşdiriləndə baş verir. Sistem sənədin biznes əməliyyatına (business transaction) və hər sətrin növünə (item category) baxır, sonra bu cüt üçün konfiqurasiya olunmuş bölmə qaydasını tətbiq edir.

Nümunə: 1 180 AZN-lik faktura. Xərcin 600 AZN-i A mənfəət mərkəzinə, 400 AZN-i B mənfəət mərkəzinə aiddir. Qayda ƏDV və kreditor sətirlərini xərc sətirlərinin nisbətinə görə bölür:

SətirHesabCəmiMM AMM B
Xərc7211 000,00600,00400,00
ƏDV 18%241180,00108,0072,00
Kreditor531−1 180,00−708,00−472,00
Hər mənfəət mərkəzi üzrə qalıq0,000,000,00

Diqqət edin: ƏDV sətrinin bölünməsi də aktiv bölmədir. Bu, orijinal sənəddə, qaydaya əsasən baş verir.

2. Passiv bölmə: sonrakı sənəddə

Passiv bölmə əsasən ödəniş və hesablaşma sənədlərində işə düşür. Burada sistem yeni qayda tətbiq etmir. Ödəniş sənədi istinad etdiyi fakturaya baxır və orada artıq edilmiş bölgünü miras alır.

Yuxarıdakı faktura ödənəndə kreditorun bağlanan sətri yenidən 708 və 472 AZN olaraq A və B mənfəət mərkəzlərinə düşür. İstifadəçi ödəniş zamanı heç bir mənfəət mərkəzi yazmır, amma sənəd hər iki mərkəz üzrə balanslı qalır.

3. Zero-balance clearing: balans hələ də bağlanmırsa

Bu, aktiv və passiv bölmədən ayrı mexanizmdir. Bəzən bölmədən sonra da sənəd hansısa sahə üzrə sıfıra bərabərləşmir. Ən tipik hal mənfəət mərkəzləri arasında köçürmədir:

SətirMMDebetKredit
Bank hesabıA500,00
Bank hesabıB500,00

Document Splitting: active, passive splitting and zero-balance clearing

An invoice carries costs for two profit centers. So which profit center do the vendor and VAT lines belong to? Document Splitting answers exactly that question.

Orkhan MammadliOctober 13, 20267 min read

Many companies want a balance sheet not only by company code but also by profit center or segment. That requires every line of every document to carry those fields. Here is the problem: on a vendor invoice the user enters the profit center on the expense line, but the vendor and VAT lines carry no such information. As a result, the balance by segment never closes to zero.

In S/4HANA, Document Splitting fills that gap. The mechanism has three parts, and mixing them up is the most common mistake.

1. Active splitting: when the original document is posted

Active splitting happens when the original document, for example a vendor invoice, is posted. The system looks at the business transaction and at each line's item category, and applies the splitting rule configured for that pair.

Example: an invoice for 1,180 AZN. Of the expense, 600 AZN belongs to profit center A and 400 AZN to profit center B. The rule splits the VAT and vendor lines in the ratio of the expense lines:

LineAccountTotalPC APC B
Expense7211,000.00600.00400.00
VAT 18%241180.00108.0072.00
Vendor531−1,180.00−708.00−472.00
Balance per profit center0.000.000.00

Note that splitting the VAT line is also active splitting. It happens in the original document, based on the rule.

2. Passive splitting: in the follow-up document

Passive splitting mainly applies to payment and clearing documents. Here the system does not apply a new rule. The payment looks at the invoice it refers to and inherits the split that was already made there.

When the invoice above is paid, the cleared vendor line falls again into profit centers A and B as 708 and 472 AZN. The user enters no profit center during payment, yet the document stays balanced for both.

3. Zero-balance clearing: when the balance still does not close

This is a separate mechanism from active and passive splitting. Sometimes, even after splitting, a document does not net to zero for a given field. The typical case is a transfer between profit centers:

LinePCDebitCredit
Bank accountA500.00
Bank accountB500.00
Clearing account (system)A500.00
Clearing account (system)B500.00

The document balances overall, but A has only a debit and B only a credit. If the zero-balance flag is set for the field, the system posts two extra lines to a dedicated clearing account and each profit center closes on its own.

What to check in configuration

  • Correct assignment of G/L accounts to item categories. A wrong category means the wrong rule.
  • Assignment of document types to business transaction variants.
  • Which fields are split (profit center, segment, fund) and which require zero balance and mandatory entry.
  • Inheritance and the default account assignment: where a line lands when the rule finds nothing.
From practice: Activating or redesigning Document Splitting after go-live is a project in its own right. Make the decision in the design phase and test it on real business flows.
